Job Description:

Duties and responsibilities:

• Using a software package, i.e. Microsoft Office to produce correspondence and documents and maintain presentations, records, spreadsheets and databases for the company.
• Attending meetings, taking minutes and keeping notes.
• Ensuring the office is presentable at all times i.e. cleanliness of the office.
• Ordering and maintaining stationery and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
• Sorting and distributing incoming post and organising and sending outgoing post.
• Photocopying and printing various documents on behalf of colleagues.
• Answering telephones and giving information to callers, taking messages, or transferring calls to appropriate individuals.
• Composing, typing, and distributing meeting notes, routine correspondence, and reports.
• Greeting visitors and callers, handling their inquiries, and directing them to the appropriate persons according to their needs.
• Maintaining scheduling and event calendars.
• Learning to operate new office technologies as they are developed and implemented.

Minimum experience required.
