Experience:
At least 4 years work experience as a front office executive in a reputable organisation.

Responsibilities:

  • Ensure the reception area is clean and tidy at all times.
  • Act as a first contact and receive, assist and direct organisational visitors to the respective officials.
  • Screen telephone calls, enquiries and requests and handle them appropriately.
  • Receive, sort and distribute mail.
  • Respond to incoming email and faxes.
  • Inventory management of all office stationery furniture and fittings, office machinery and equipment.
  • Provide answers to routine enquiries or refer them to the respective personnel.
  • Monitor visitor access and maintain security awareness.
  • Facilitate for meetings with scheduled visitors.
  • Schedule and organise for both internal and external meetings whenever need be.
  • Order, monitor, maintain and distribute stationery and consumables.
  • Manage office pantry and monitor usage on a daily basis.
  • Manage office automation by informing the respective department as and when repairs and or maintenance are due.
  • Offering administrative support to other functions through photocopying and scanning.
  • Filing and maintaining the filing system.
  • Payment of utility bills for senior management as and when required.
  • Drafting effective correspondence as and when required.
  • General office procedures.
  • Assist in any other administrative duties that may be required from time to time.
  • Any other duty assigned by your immediate boss or top management under the ‘Admin’ function.

  • Courteous with professional demeanour.
  • Well groomed.
  • Mature, attentive and has respect for confidentiality.

QUALIFICATIONS AND SKILLS:

  • Secretarial Diploma course.
  • Minimum ‘O’ level – C or Div III
  • Must be less than 35 years of age.
  • Good knowledge of MS Office.
  • Ability to multi task.
  • Have strong communication skills, both written and oral.
  • Fluency in English and Swahili both written and spoken.
